Description

You will provide direct administrative support to the Training Officer to facilitate corrections professional training operations.

Responsibilities

• Greet trainees, manage building access, and address visitor inquiries.
• Manage inbound calls, prepare training workbooks, and handle material duplication.
• Maintain classroom readiness by managing supplies, stocking refreshments, and reporting maintenance needs.
• Execute data entry within the Learning Management System, including attendance and roster creation.
• Support grant management tasks by preparing contracts via mail merge, reviewing document accuracy, and reconciling invoices.
• Coordinate training logistics including class scheduling, room availability, and travel arrangements.

Required Skills

• 7+ years of experience in administrative assistance, secretarial work, or office management.
• Proficiency in Microsoft Excel for schedule management and data processing.
• Proficiency in Microsoft Word for document preparation and mail merges.
• Strong customer service skills for professional visitor interaction.
• Effective verbal and written communication skills.
• Strong organizational skills to manage logistics and multiple tasks simultaneously.
• Ability to work independently and prioritize tasks during supervisor absence.
• Problem-solving skills to identify and implement solutions.

Preferred Skills

• Associate or Bachelor’s degree in any field.
• Prior experience with grant management.
