Coordinate day-to-day project activities across design, permitting, procurement, and construction teams to keep projects on schedule and within scope.
Own project documentation control, including tracking of drawings, submittals, RFIs, change orders, meeting minutes, and design deliverable packages (30/60/90%, IFP, IFC).
Develop and maintain project trackers, dashboards, and status reports that provide real-time visibility into schedule, budget, risks, and action items.
Support meeting coordination, agenda preparation, action item follow-up, and clear communication of decisions and next steps to stakeholders.
Assist with project funding requests, scope tracking, change management, and basic cost/schedule monitoring in partnership with Project Managers and Construction teams.
Facilitate coordination between internal teams (Engineering, Construction, Procurement, EH&S) and external partners (consultants, vendors, AHJs).
Help identify process bottlenecks and implement practical improvements using data, automation, and AI-assisted solutions.
Maintain organized project files and ensure accurate, up-to-date information is available to all stakeholders.
Support on-site activities and travel between Client sites in the Bay Area (and occasionally broader North America) as needed.
Site visits including reviewing and documenting existing conditions or construction progress
Project Close-Out tasks include as-built documentation archiving including plan, equipment schedule, and single line consolidation.
Establishing processes to ensure easy workflow and hosting/leading meetings for project/ticket intake on a weekly basis
Gather data from Design managers/CM’s on weekly/bi-weekly basis to be successful for populating various Gantt charts
Requirements
Associates or Bachelor's Degree in Science, Technology, Engineering or Math (STEM); or other related field.
2–5 years of experience as a Project Coordinator, Project Engineer, or similar role supporting construction, infrastructure, industrial, or manufacturing projects.
Strong organizational skills with the ability to manage multiple projects and priorities in a fast-paced, ambiguous environment.
Excellent written and verbal communication skills; able to distill complex information into clear updates for technical and non-technical audiences.
Proficiency with Microsoft Office Suite (especially Excel), project tracking tools, and collaboration platforms, experience with Power BI, Tableau, or similar visualization tools is a plus.
Comfort working with design and construction documents, schedules, and basic project controls.
Positive, proactive, can-do attitude with a passion for building efficient systems and complex infrastructure.
Willingness to work on-site 5 days per week and support extended hours or weekends when project needs require it.
Ability and willingness to travel between Bay Area Client sites (occasionally) as needed.
Preferred Qualifications
Experience in high-tech manufacturing, industrial facilities, or large-scale infrastructure projects.
Familiarity with BIM, Revit, Bluebeam, or construction management software.
Exposure to lean construction principles, design-build, or fast-track project delivery.
Basic understanding of permitting processes and working with Authorities Having Jurisdiction (AHJs).
Prior experience supporting structural, MEP, or multi-disciplinary engineering teams
