You will provide comprehensive and confidential personal assistant support to the Head of Service within the Chief Executive and Corporate Resources department.
Responsibilities
- Manage diaries, schedule appointments, and arrange meetings for the Head of Service.
- Prioritize urgent requests and negotiate meeting attendance when scheduling conflicts arise.
- Maintain and update information systems and databases to ensure accurate service transactions.
- Handle queries, complaints, and requests from customers, Councillors, or MPs, escalating complex issues to senior staff.
- Draft documentation, compile written reports, and collate data to support decision-making.
- Monitor and maintain budgets and financial information accurately.
Required Skills
- 5+ years of professional experience in a similar administrative or assistant role.
- Proven ability to work with high levels of personal initiative and independence.
- Expertise in managing complex workloads and adhering to relevant regulations and codes of practice.
- Strong understanding of organizational processes and procedures.
- Ability to judge the importance of communications and decide on appropriate escalation paths.
- Proficiency in electronic working tools and digital support systems.
- Strong research and data collation skills.
- Any Graduate degree.
