  Job Description
Location: Westchester, NY
PURPOSE OF POSITION

* Provide excellent customer service and Supply Chain Management to broad national distributor base in order to maximize customer satisfaction, departmental goals, and company profitability;

* Represent the company is a positive efficient manner. Work well in a team-like, fast paced environment. Improve processes and procedures through innovation.

* Supervise and mentor a diverse team, including staff and managers, of 8-10 people in meeting department*s goals and objectives.

* Responsible for presenting a professional, customer-focused source for service to Wines wholesale customers (distributors);

* Responsible for the excellent management of specific Wines orders, from multiple ex-points both foreign and domestic.

* Responsible for coordinating with off-site facilities to meet customer needs;

* Responsible for the knowledge and accurate processing of multiple skus;

* Problem solving to keep supply chain moving efficiently.

For Direct Import (drop shipment) Customers :

* Responsible for high level communication and the transmission of purchase order documents to foreign suppliers and wineries;

* Responsible for monitoring product availability and overseas shipment of DI orders, including proper communication between source points, distributors and customer service.

* Ability to work with Freight Forwarders, Customs Brokers, Import Documentation.

Internal Management:

* Ensure accurate and timely billings for all wine shipment direct import, drop shipments and domestic warehouse.

* Monitor orders and systems to ensure accurate information is being transmitted to suppliers and customers.

* Manage allocations and track goals against specific brands and or items.

* Inventory management * safety stock projections and forecasting.

* Claims management.

* Specialized projects.



ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Manage sales order management processes of team, by:

* Communicating regularly and professionally with each person on the team;

* Working with Freight Forwarders and customs brokers to achieve order efficiencies;

* Researching and answering questions related to product availability, allocations, order status, transit issues, product returns, etc;

* Regular and professional communication with Customer Managers/Sales representatives, including maintaining a calendar of promotions in order to assist customers in taking advantage of such programs;

* Evaluating customer orders for feasibility, order patterns, specific customer needs, Winery constraints, modes of transportation, and opportunities (ie: product substitutions, up-sells, promotions);

* Accurately entering orders in computer system;

* Identifying and communicating vintage changes;

* Actively pursuing release of orders held in the system due to pricing, credit, allotment, and state registration issues;

* Understand control state labeling requirements, and legal shipments of samples.

2. Supervising team members in order fulfillment.

* Clarifying the issue;

* Collecting and analyzing information from the Wineries, distributors, and other appropriate parties;

* Determining the cause of the issue;

* Researching, selecting, and explaining the best solution to solve the issue;

* Expediting corrections or adjustments;

3. Cross train and rotate duties as needed with other Supply Chain Specialists.

4. Manage Billing Department to ensure accurate and timely Billings.

5. Other duties required for customer satisfaction, departmental goals, and company profitability.
